General Terms & Conditions
1. These Terms and Conditions is to be read in conjunction with the Farm’s guidelines (the “Guidelines”.)
2. Registration for the booth at the HSF Winter Bazaar (the “stall”) shall be made on the form overleaf and shall be duly signed by the authorized person for and on behalf of the Exhibitor.
3. In consideration for the utilization of the Booth, The Exhibitor shall pay QAR 10000 (the “Fee”) for the normal tent or QAR 12000 for the VIP tent for the period, to the Organizer. Payment shall be made within three (3) Business Days following the completion of the Registration Form.
4. Any additional equipment and / or services, such as but not limited to furniture, power supply, etc ordered by the Exhibitor, shall be invoiced separately.
5. In case the Exhibitor wants to cancel the contract, the Exhibitor must address the cancellation request in writing to the concerned person / persons working for the organizer. The exhibitor must inform the organizer one month in advance to avoid cancellation fees. If applicable, the exhibitor shall be liable for any subsequent sum incurred by the organizer on behalf of the exhibitor.
6. At all times, the Organizer and all who are associated with them shall not be responsible at all for the safety of the Exhibitor, their staff, agents, contractors or attendees, nor shall be responsible for any exhibits, articles or any other property of whatever kind brought into the Exhibition by the Exhibitor, their servants, agents, contractors or invitees or members of the public. In all circumstances, the maximum liability of the Organizer towards the Exhibitor, whether contractual or non-contractual, shall not exceed the value of the Fee.
7. These General Terms and Conditions shall govern the relationship between the Organizer and the Exhibitor and shall apply to all the services, whether current or future, that shall be rendered by the Organizer to the Exhibitor unless otherwise provided for in a separate agreement. The Organizer reserves the right to alter, add to, or amend any of these conditions, and the decision of the Organizer is binding should any disagreement on the interpretation of these regulations arise.
8. The Exhibitor shall insure against, indemnify and hold the Organizer harmless in respect of all amounts, claims, demands and expenses to which the Organizer may in anyway be subject as a result of any loss or injury arising to any person (including members of the public or the Organizer’ staff, agents or contractors) or property howsoever caused as a result of any act or default of the Exhibitor, his servants, agents or contractors or invitees. If the Organizer so demands, the Exhibitor shall provide proof to the Organizer that the Exhibitor has adequate insurance cover acceptable by the Organizer. The Organizer reserves the right to alter, add to, or amend any of these conditions, and the decision of the Organizer is binding should any disagreement on the interpretation of these regulations arise.
9. During the exhibition, the Exhibitor shall be the guardian of the Tent. The Exhibitor shall at all times be absolutely responsible for his property, exhibits or articles brought to the exhibition. The Exhibitor further undertakes not to exhibit any unlawful or counterfeited material or any material that might breach the Intellectual property rights of any third party. In all circumstances, the Exhibitor shall fully indemnify and hold Organizer harmless against any claim, suit or demand to which the Organizer may in any way be subject as a result of any unlawful act or breach committed by the Exhibitor.
10. The Organizer shall not in any event be held responsible for any restrictions or conditions which prevent the construction, erection, completion, alteration or dismantling of Booth or the entry, placement or removal of exhibits or for the failure of any service or amenities provided by the hall landlords or other third parties.
11. The Exhibitor must not transfer, dispose of, part of, part with or otherwise sublet all or any part of his exhibition space, whether for financial consideration or otherwise.
12. The Organizer shall not be liable to the Exhibitor by reason of any cancellation or part-time opening of the exhibition, either in whole or in part, for any non-performance of their obligations under this Terms and Conditions or any amendments or alterations to all or any of the Guidelines of the Farm to the extent that such occurrence is due to any circumstances not within the control of the Organizer.
13. If the Organizer does not exercise, or takes time in exercising, any of its rights set under this Terms and Conditions, this shall not constitute by any means a waiver by the Organizer of that particular right.
14. The Organizer reserves the right to terminate this agreement between the parties at any time in the event the Organizer deems for reasonable causes that the Exhibitor’s participation in the Exhibition might endanger it or might give rise to any sort of liability or the Exhibitor fails to follow the Guidelines of the Farm. The Organizer shall return the Fee in such an event.
15. The Organizer, at it discretion, may choose not to hold the Winter Bazaar. In such an event, the Organizer will return the Fee to the Exhibitor, which will represent the full and final liability to the Exhibitor.
16. These General Terms and Conditions shall be governed by the Qatari laws and the courts of Doha shall have exclusive jurisdiction to decide on any dispute arising out or in connection with the agreement.
The Exhibitor declares that they have read and approved the Terms & Conditions. The Exhibitor’s signature of the Application (whether on its face or overleaf) shall be a proof that he has read and approved all the provisions of the Terms & Conditions.
Heenat Salma Guidelines
- Do not trespass into areas with signs that say: PRIVATE
- No pets are allowed.
- No outside food is allowed.
- For cash payments, we only accept Qatari Riyal.
- All activities and workshops are subject to availability.
- Cakes are not allowed from outside. You can preorder from our kitchen.
- Music is not allowed from outside so are loudspeakers. You are welcome to book our Sitar musician.
- If you would like to get an outside professional photographer, pre-authorization is required. Photography is permitted only in the seating area.
- Any decoration set up chosen has to match the farm’s theme and concept. If you choose to use your own decoration, pictures need to be shared with us for approval.
- Privacy cannot be guaranteed on the farm. Kindly coordinate with our reservation department for such bookings.
- In case of any allergies, kindly inform the reservations team in advance.
- The farm is situated far from the city and attracts different types of animals & insects, please remain vigilant and keep from harm’s way.
- Do not harm the plants or disturb the farm animals in any way.
- Photoshoots are not permitted without an official permit.
- Any form of disrespectful, abusive, or inappropriate behavior by the Vendor, its staff, representatives, or contractors toward any of our employees, partners, or stakeholders will not be tolerated. Management reserves the full right to immediately remove the individual(s) involved from the farm without notice, and without any liability or compensation to the Vendor.
- The use of the swimming pool is strictly for the lodge guests. Note that we do not provide lifeguards.
- Park your vehicle in the designated parking lot.
- It is prohibited to enter with unregistered & loud vehicles, buggies, and motorbikes.
- Shisha is strictly prohibited on the farm.
- It is prohibited to bring gunpowder, oils, fireworks, or any other highly inflammable materials.
- It is prohibited to bring objects that emit foul odours.
- It is prohibited to bring illegal drugs, alcohol or other articles which are prohibited by the laws of Qatar.
- Gambling or other acts that are against the law of Qatar or that may cause annoyance are strictly prohibited.
- Please refrain from bringing any electrical appliances such as heaters, ACs, cooking appliances or irons that could cause a fire or power surge unless provided by the farm.
- Always supervise your children while on the farm.
- The farm follows quiet hours from 12 am to 6 am to maintain the peace & quiet between guests.
- Dress code: wear comfortable clothing & footwear when visiting the farm.
- We encourage you to bring a hat, sunglasses, and sunscreen for sun protection.
- Any media coverage, content creation, photography, videography, influencer engagement, or promotional exposure requested specifically for the Vendor’s brand will be subject to additional charges and must be agreed upon in writing in advance.
- The Organizer’s responsibility is limited to event organization, infrastructure, and driving general visitor footfall to the farm. The Vendor is solely responsible for its own sales performance, customer engagement, pricing, product quality, and conversion of visitors into customers. No sales guarantees are provided or implied.
- Any use, placement, display, branding, equipment, activities, or structures outside the allocated booth space without prior written approval from Management will be subject to additional charges. Management reserves the right to remove unapproved items immediately at the Vendor’s expense.
